Terms of Service

1. Who these terms apply to

These Terms of Service apply to your use of HostBooks at hostbooks.io and any related web app, features, or services we provide.

HostBooks is operated by Matt Coleman as an individual business. By creating an account or using HostBooks, you agree to these terms.

2. Accounts and eligibility

You must provide accurate information when you create an account and keep your login credentials secure. You are responsible for activity that happens under your account.

You may use HostBooks only if you can legally form a binding agreement and use the service in compliance with applicable law.

3. What HostBooks does

HostBooks helps short-term rental hosts organize bookkeeping data, categorize transactions, generate reports, and surface tax-related insights.

Some outputs are generated with AI. Those outputs are meant to help you work faster, not to replace your own judgment.

4. AI and tax guidance disclaimer

HostBooks may provide AI-assisted categorization, tax suggestions, and educational guidance. This information is for educational purposes only.

HostBooks is not a law firm, accounting firm, or CPA. Nothing in the service is legal, tax, or accounting advice, and it is not a substitute for a qualified CPA or tax professional who understands your full situation.

You are responsible for reviewing your books, filings, and final tax positions before relying on them.

5. Plaid-connected bank data

If you choose to connect a bank account, HostBooks uses Plaid Inc. to access financial account data you authorize us to retrieve.

By using the bank connection feature, you authorize HostBooks and Plaid to access, transmit, and process your bank data for the purpose of importing and organizing your transactions.

You represent that you have the right to connect the accounts you link. Your use of Plaid is also subject to Plaid's end user privacy policy and other Plaid terms.

6. Payments and billing

Paid subscriptions and other fees, if offered, are billed through Stripe. By purchasing a paid plan, you authorize Stripe to charge your selected payment method.

Fees are generally non-refundable unless required by law or unless we say otherwise in writing. You can cancel future renewals at any time, and your access will continue through the paid period unless stated otherwise.

7. Acceptable use

You agree not to misuse HostBooks. That includes trying to break the service, scrape it without permission, interfere with other users, upload malicious files, violate laws, infringe intellectual property rights, or use the service to commit fraud.

We may suspend or terminate access if we believe your use creates risk for the platform, other users, or third parties.

8. Your content and data

You retain ownership of the data and content you upload or submit to HostBooks. You give us the limited rights needed to host, process, analyze, and display that data in order to operate the service.

You are responsible for making sure you have the right to upload and use the information you provide.

9. HostBooks intellectual property

HostBooks, including the software, design, branding, workflows, and content we create, is owned by Matt Coleman or our licensors and is protected by intellectual property laws.

We give you a limited, non-exclusive, non-transferable right to use the service for your internal personal or business use while you comply with these terms.

10. Service availability

We aim to keep HostBooks available and reliable, but we do not guarantee uninterrupted service, perfect accuracy, or error-free outputs.

Features may change over time, including integrations, pricing, and product functionality.

11. Limitation of liability

To the fullest extent allowed by law, HostBooks is provided as-is and as-available without warranties of any kind, whether express or implied.

HostBooks and Matt Coleman will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, goodwill, or tax outcomes arising from your use of the service.

Our total liability for any claim related to HostBooks will not exceed the amount you paid us in the 12 months before the event giving rise to the claim, or $100 if you have not paid us anything.

12. Termination

You may stop using HostBooks at any time. We may suspend or terminate your access if you violate these terms, create risk for the service, or if we discontinue the product.

Sections that by their nature should survive termination will continue to apply, including ownership, disclaimers, limitations of liability, and dispute-related terms.

13. Governing law

These terms are governed by the laws of the State of Texas, without regard to conflict of law rules.

Any dispute arising out of or relating to these terms or the service will be resolved in the state or federal courts located in Texas, and you consent to that venue and jurisdiction.
